We are seeking a highly organized and proactive Executive Assistant/Office Manager to join the City Manager’s Office in Oak Park. This pivotal role requires a dedicated professional capable of managing a variety of administrative tasks while supporting the City Manager and other staff members. The ideal candidate will demonstrate outstanding communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.
Responsibilities
- Provide comprehensive administrative support to the City Manager and staff, including scheduling meetings, preparing correspondence, and managing communications.
- Coordinate and organize office operations and procedures to ensure efficiency and productivity.
- Assist in the preparation of reports, presentations, and other documents as needed.
- Manage and maintain the City Manager's calendar, including scheduling appointments and meetings.
- Oversee office supplies and equipment, ensuring that the office is well-stocked and operational.
- Act as a liaison between the City Manager’s Office and other departments, external agencies, and the public.
- Support special projects and initiatives as assigned by the City Manager.
- Maintain a high level of confidentiality and professionalism when handling sensitive information.
Requirements
- Proven experience as an executive assistant or office manager, preferably in a governmental or public service environment.
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Proficiency in office software applications, including word processing, spreadsheets, and presentation tools.
- Ability to handle multiple tasks and prioritize effectively in a busy office setting.
- Demonstrated ability to maintain confidentiality and exercise discretion.
- High school diploma required; associate degree or higher preferred.
